How the numbers are worked out

Assumptions and limits
- Real cost of an hour. Salary plus extra costs (office, laptop, software, HR, management), divided by the hours actually worked. Paid leave, sick days and public holidays are paid but not worked, so each worked hour costs more than salary alone suggests.
- Work does not stop when someone is away. Daily and weekly tasks happen on every business day. On leave and sick days someone else covers them at the same cost, or they pile up. Tasks that run by themselves keep going.
- Two ways to use AI. You ask an AI each time: your time is writing the request and waiting, checking, and redoing the share that fails. Runs by itself: a scheduled agent does the work; your time is checking and redoing failures only. If neither is faster than doing it by hand, no saving is counted.
- Where the starting numbers come from. Asking an AI each time: writing tasks took 40% less time with ChatGPT (Noy and Zhang, Science, 2023); developers finished 55.8% faster with Copilot (Peng et al., 2023); support agents resolved 14% more issues an hour, and newer staff 35% more (Brynjolfsson et al., NBER, 2023). - Cautious uses 1.5 times your AI and checking time and 1.5 times the redo share. Best case uses 0.75 times the time and half the redo share.
- Free plans have usage limits that vendors do not publish as fixed numbers, so they are counted for only part of your runs (your setting, 50% to start). Paid plans have limits too; heavy use may still hit them.
- A plan only counts for what its vendor's pricing page lists. Only Sahkarmi and ChatGPT's scheduled tasks are counted as running work by themselves. Nothing here promises a tool will do your task correctly: check what it produces.
- Setup (building each automation or prompt) is counted once for the team, and learning the tools once per person, in the first year.
- Value of time is not cash. Unless saved hours replace paid overtime, freelancers or hiring, the money figure is time freed for other work. The plan price is real money either way.
- No double counting. Plans you already pay for are in every option at no extra cost. Each plan is priced per person.
- Best value is the option with the highest typical net benefit, but a cheaper option within 5% of it is picked instead.
- Taxes: rupee prices are as listed on each vendor's India page, which do not say whether GST is included. US dollar prices can have 18% GST added (on by default).
